How to Prepare for Your Analysis

At its core, Kavaya AI provides a comprehensive analysis of your existing systems through an interactive Q&A session, uploading of existing system documentation, and integration with your existing systems.

Q&A Session

The session is supported with voice to text or text. We recommend you come prepared in advance to answer the following questions. Kavaya will ask follow up questions as it deems appropriate.

Preparation Questions:

What would an ideal solution look like to you?
Have you already looked into alternative technology options? If yes, what options have you already ruled out, if any, and why?
What specific features or functionality are missing? What specific features or functionality are great and are working for you?
Are there any solutions that you've already tried to implement?
From start to finish maximum, how long would you need the implementation and cutover to take?
Are there any other user groups using your system that are negatively impacted or limited by your current system functionality?
What is the minimum and maximum you would like to spend on the procurement, build, and cutover of your current system?
What is the minimum and maximum you would like to spend on a monthly basis for licensing and operating costs?
Have you started using any AI tools in your business processes already? If yes, can you tell me about them?

Upload Documentation

We recommend uploading as much available documentation as possible. The most accurate and recent version is always recommended.

NOTE: Kavaya can NOT read protected files. Please be sure to remove any password protection or encryption prior to uploading.

System Integration

Kavaya AI will analyze the metadata, business process logic, and system data. Each analysis is generated based on the inputs you provide at the time of execution.

Kavaya AI can integrate with multiple systems for a single analysis. It does not require long-term system access or persistent storage of your data.

Output Quality Depends on Input Quality

Kavaya AI's recommendations are only as strong as the information provided. To get the best results, we recommend submitting:

Accurate system descriptions and architectures
Relevant documentation, configurations, or code references
Clear business constraints, goals, and modernization drivers

Incomplete, outdated, or inaccurate inputs may result in recommendations that require additional refinement or validation.

Depending on the service level you selected, you may have the option to engage directly with a Kavaya AI consultant.

System Integration Guide

This guide will walk you through connecting your business systems to our platform. Each integration takes 5-10 minutes to set up and requires admin access to your respective accounts.

Quick Overview

Our platform can analyze data from:

Google Drive - Documents, spreadsheets, and system documentation
HubSpot - CRM data, contacts, deals, and pipelines
Salesforce - Sales data, accounts, and opportunities
GitHub - Code repositories and documentation

You only need to connect the systems relevant to your analysis.

Google Drive Setup

What You'll Need:

Google account with access to the Drive folder you want to analyze
15-20 minutes

1. Create a Google Cloud Project

Go to console.cloud.google.com
Click the project dropdown at the top → New Project
Name it anything (e.g. "Kavaya Integration") and click Create

2. Enable the Google Drive API

Go to APIs & Services → Library
Search for "Google Drive API"
Click it and click Enable

3. Create OAuth Credentials

Go to APIs & Services → Credentials
Click Create Credentials → OAuth client ID
If prompted to configure the OAuth consent screen:
- Select External and click Create
- Fill in the required fields (app name, support email)
- Click Save and Continue through the remaining steps
For Application type, select Web application
Under Authorized redirect URIs, add: https://developers.google.com/oauthplayground
Click Create
Copy your Client ID and Client Secret — you will need these below

4. Generate a Refresh Token

Go to developers.google.com/oauthplayground
Click the settings gear (⚙️) in the top right
Check Use your own OAuth credentials
Enter your Client ID and Client Secret from step 3
Close the settings panel
In the left panel, find Drive API v3 and check https://www.googleapis.com/auth/drive.readonly
Click Authorize APIs and sign in with your Google account
Click Exchange authorization code for tokens
Copy the Refresh Token — treat it like a password

5. Get Your Folder ID

Open the Google Drive folder you want to analyze
Look at the URL in your browser: https://drive.google.com/drive/folders/1a2B3c4D5e6F7g8H9i0J
Copy the Folder ID (the long string of characters after /folders/)

6. Enter in Kavaya

Paste your Client ID, Client Secret, Refresh Token, and Folder ID into the connection form

Security Note: You can revoke access at any time by going to myaccount.google.com/permissions and removing the app.

HubSpot Setup

What You'll Need:

HubSpot admin or super admin access
Professional or Enterprise tier (recommended)
5 minutes

1. Access Private Apps

Log into your HubSpot account
Click the Settings icon (gear icon) in the top navigation
In the left sidebar: Integrations → Private Apps
Click "Create a private app"

2. Configure Your Private App

Basic Info tab:
Name: System Analysis
Description: Integration for AI-powered system analysis
Click Next

3. Set Permissions (Scopes)

Go to the Scopes tab
Search and select these permissions:
crm.objects.contacts.read - Read contacts
crm.objects.companies.read - Read companies
crm.objects.deals.read - Read deals
crm.schemas.contacts.read - Read contact properties
crm.schemas.companies.read - Read company properties
crm.schemas.deals.read - Read deal properties
Click Create app

4. Get Your Credentials

After creation, you'll see the Access Token
Click "Show token" and copy it (you can only see this once!)
Store it securely - treat it like a password

5. Find Your Portal ID

Look at any HubSpot URL: https://app.hubspot.com/contacts/12345678/contacts
The 8-digit number is your Portal ID

6. Enter in Platform

Paste Access Token into the form
Paste Portal ID into the form
Click Test Connection to verify
Click Save

Security Note: You can revoke access anytime by going to Settings → Integrations → Private Apps and deleting the app.

GitHub Setup

What You'll Need:

GitHub account with repository access
Repository admin or owner permissions
5 minutes

1. Create a Personal Access Token

Log into GitHub
Click your profile picture → Settings
Scroll down to Developer settings (bottom of left sidebar)
Click Personal access tokens → Tokens (classic)
Click Generate new token → Generate new token (classic)

2. Configure Token Permissions

Note: Kavaya System Analysis
Expiration: Choose 90 days, 1 year, or No expiration
Select scopes: repo - Full control of private repositories
Click Generate token

3. Save Your Token

Copy the token immediately - GitHub only shows it once!
Store it securely (like a password)

4. Get Repository Information

Navigate to your GitHub repository
Look at the URL: https://github.com/YourUsername/YourRepository
Note both the Username and Repository name

5. Enter in Platform

GitHub Username: Your username or organization name
Repository Name: The repository name
Access Token: The token from step 3
Click Test Connection to verify
Click Save

Security: You can revoke the token anytime in GitHub Settings → Developer settings → Personal access tokens.
